The opportunity

The successful candidate will facilitate the scheduling, preparation, and processing of digital assets, using TVO’s technical facilities, both internally and with third party vendors. The Digital Media Services (DMS) Coordinator will work with both negotiable and non-negotiable deadlines.  Customers of DMS include, but are not limited to, Programming and Content, Production, Product Management, Communications, Marketing, Digital Learning, ILC, Scheduling. The DMS Coordinator will provide excellent customer service and support to the timely processing of content.

How you will make an impact:

  • Validate and schedule requests submitted for the processing of content through Digital Media Services and third-party service providers, according to TVO policies and procedures. This includes (but is not limited to) ingest of media, field recordings, live streaming, closed captioning, descriptive video, web encoding, and content formatting
  • Coordinate and liaise with external third-party vendors including but not limited to, closed captioning and described video agencies, to ensure all content for the digital platforms and broadcast meet CRTC and AODA guidelines
  • Follow up with requesters to ensure that orders submitted through the Digital Asset Management System (DAM) are correct and complete
  • Provide training to our clients on how to submit requests, as well on new procedures rolled out by the department
  • Provide high level of support and technical troubleshooting for DAM users with operational questions; refer more complicated questions to appropriate staff
  • Prioritize customer requests in context of negotiable and non-negotiable deadlines and schedule accordingly
  • Consult various clients to anticipate future needs/requests
  • Monitor and respond to issues related to the movement of digital media files into and out of the DAM infrastructure, that includes resolving routine issues or escalating complex issues appropriately
  • Manage timely content processing between internal and external stakeholders
  • Prepare or edit work orders and similar operational documents
  • Troubleshoot, anticipate, and resolve content processing issues with management, operators, third party service providers, and customers
  • Validate and process invoices for services provided by third party vendors using the internal financial system
  • Oversee the status of content processing and maintain a reliable and efficient turnaround time according to service level agreements with customers
  • Provide accurate, up-to-date delivery estimates (including delays and related problems) to Digital Media Services clients and stakeholders
  • Back-up and fill in for the Media Coordinator as required
  • Perform asset deletions
  • May be required on occasion, during periods of peak demand, to work overtime or weekends
  • Other duties as required
What you will bring to TVO:

  • Minimum Post-secondary school education, college level or greater
  • Minimum 3+ years practical experience in the media field performing scheduling function for broadcast content and digital assets
  • Experience in coordinating the work of others and third-party providers i.e. closed captioning and descriptive video services
  • Up-to-date knowledge of web distribution (i.e. Video codecs, distribution platforms)
  • Fluency with terminology used in a broadcast/digital media work environment
  • Familiarity with television production and/or a broadcast cycle
  • Intermediate level experience with Microsoft Excel and Outlook
  • Experience with digital asset management and/or digital workflow is strongly preferred
  • Customer focused with the ability to collaborate with all users, prioritize and schedule to meet conflicting deadlines in a high-pressure environment
  • Ability to exercise sound judgment and apply creative thinking to devise work-around/alternate solutions to a problem
  • Exceptional level of accountability, attention to detail in all aspects of this role
  • Self-motivated and proactive professional who can meet negotiable and non-negotiable deadlines successfully
  • Excellent interpersonal, verbal, and written communication skills especially when explaining policy and procedures, and working as part of a cohesive team
