You’ll be working across the ELC portfolio of brands to manage the organization of all assets and system workflows. As Systems Coordinator, you will work within the Creative Operations team within our in-house creative agency, ELC Studios. Support the Creative Operations team in leading overall strategy, implementation and workflow for Digital Asset Management (DAM), Wrike project management system and all other tools that contribute to driving excellent organisation of all assets.

Key Responsibilities

  • Reporting into the Senior Producer, you will be responsible for managing the organisation of digital assets (DAM), ensuring teams are working effectively within our project management system (Wrike), managing folder architecture, process standardisation and libraries, documentation management and system and workflow management
  • Fully support the team to ensure they have all the tools, resources and information, relating to systems, software, processes and technology, that they could possibly need to produce best in class creative within deadline
  • Responsible for driving folder architecture ensuring naming conventions and file structures are maintained across servers, Teams, SharePoint & Wrike at all times
  • Responsible for all system architecture ensuring workflows are accurately documented, updated, filed and communicated at all times
Digital Asset Management (DAM) Responsibilities:

  • Oversee data administrators in the day to day operations of metadata and rights management application, and proper distribution of global assets
  • Responsible for daily operations of ingesting, curating, organizing, and general asset maintenance and management in the DAM system, and associated issue management
  • Develop and implement strategy associated with the cataloguing, annotating (metadata schema & taxonomies), storage, retrieval, usage, expiration, archiving and distribution of creative digital assets, across stills, videos, graphics and motion designs for all our brands
  • Track and analyse key performance indicators to determine workflow and systems effectiveness
  • Ensure accurate translation of contractual information into the usage rights management module in DAM to allow end users a clear understanding of available usage(s) and expiration for stills and videos with models/ talent
  • Collaborate with multiple stakeholders (internal and regional) to strategize and develop processes that will optimize efficiencies and speed to market in the distribution of creative assets
  • Responsible for working closely with Information Technology (IT) to drive understanding and implementation of standard operations, frameworks, updates and upgrades as needed
  • Educate and facilitate proper usage (best practices and process adoption) of DAM system across all departments and regions
  • Manage data administrators in proper maintenance of creative assets and legal deco library in order to assure a current and up to date centralized global repository
Wrike Responsibilities:

  • Responsible for leading and driving implementation for Wrike
  • Responsible for driving continuous improvement at all times through building, testing and implementation
  • Working with stakeholders to analyze, review and streamline all efficiencies to ensure maximum productivity and implement necessary adjustments towards better workflow management within Wrike
  • Responsible for maintaining, filing and communicating documentation accordingly from technical functions and how to guides to blueprints and process flows
  • Responsible for being the system champion whilst ensuring the foundation is always maintained from activating new accounts to updating blueprints
  • Maintain great relationships and communication with all brand stakeholders
Qualifications

Key Skills

  • Previous management within DAM & project management systems within a high-volume studio or creative agency
  • An ability to effectively communicate, collaborate and influence across groups
  • Ensure that your approach to process is flexible – positively find solutions to problems whilst assessing the commercial impact of decisions made
  • Ability to prioritize & manage multiple projects simultaneously in a fast-paced environment
  • Experience in Excel
  • Analytical and detail oriented
  • Calm under pressure
