SUMMARY OF POSITION

As the Senior Manager Of Digital Assets And Image Licensing, you will be responsible for the administration of the Guggenheim’s digital media asset management database (DAMs).  The DAMs is the web-based digital repository and access point for more than 500,000 assets that document the art collections, the rich exhibition and event history, and the unique architecture of the Guggenheim Museum, the Peggy Guggenheim Collection and affiliated museums in the Guggenheim constellation.  This position also manages all third-party requests to license Guggenheim images of art objects, architectural and exhibition views, and related videos.

SKILL AND EXPERIENCE REQUIREMENTS

  • 5 years’ experience in digital asset management.  Cultural Heritage experience preferred
  • M.L.I.S. degree or B.A. degree in art or related field required
  • Experience with and implementation of best practices for enterprise-level digital asset management software
  • Database management, software administration, digital rights management, metadata standards and practices, file formatting, and data migration
  • Excellent communication skills, including the ability to collaborate with staff at all levels across the institution, and with outside organizations and vendors
  • Practical experience with image cataloging, data preservation, and electronic distribution of digital images and video for cultural heritage objects and projects
  • Thorough working knowledge of current digital archiving standards and best practices, including file naming, metadata standards and workflows, file formats for still and video assets, and digital asset management
  • Thorough understanding of digital still image file creation, including image size, bit depth, color profiling, image resolution, and compression
  • Strong computer skills, including a complete working knowledge of Microsoft Office applications and Adobe Creative Suite
  • Very high level of organizational skill with keen attention to detail and the ability to advocate and implement best practices and institutional policy regarding the museum’s digital assets
  • Thorough working knowledge of licensing and trademark best practices for cultural heritage imaging
KEY RESPONSIBILITIES

Duties include, but are not limited to, the following:

  • Configures and administers the NetX DAM system and its integration with other internal systems. Facilitates ingestion of digital media assets into the DAM system from all museum departments.
  • Identifies new departmental collections of digital assets to add to the database
  • Provides quality control for all metadata and monitors for accuracy and consistency across the database.  This includes the development and management of metadata tools, controlled vocabularies, and other metadata standardization solutions for departments across the institution
  • Analyzes existing digital assets for compliance with Guggenheim archival and metadata standards and industry best practices. Brings existing assets up to appropriate standards, including reorganization of file directories and metadata clean-up projects. Ensures that technical standards are met for long-term digital preservation
  • Researches and makes recommendations on emerging standards and institutional policy regarding the museum’s digital assets
  • Organizes and conducts ongoing staff and intern training program in NetX for individuals and groups. This includes maintaining a custom training manual, regular training sessions and videos
  • Maintains the Guggenheim DAMs Sharepoint page - a staff resource with information about how to use the DAMs
  • Monitors the Guggenheim Museum’s public-facing Licensing email address. This includes responding to and managing requests from third parties to use images
  • Works closely with the Legal department preparing legal agreements outlining each licensed image use in print publications, feature films, television shows, websites and social media of other institutions, global brands, scholars, etc
  • Acts as a resource and advisor to museum staff and provides accurate policy, image rights and usage information concerning the museum’s digital media assets
  • Determines fees, issues invoices, tracks payment and fulfillment of all still image and video licensing. This includes working closely with Finance to reconcile incoming payments with the corresponding signed agreements
  • Reviews the layout and captioning of all licensed images prior to publication and checks final publications for accuracy and compliance with the agreed usage
  • Tracks annual and quarterly licensing income and payments (projected and actual)
  • Works with outside parties such as the Frank Lloyd Wright Foundation, Art Resource, Art Authority, ArtStor, and others to make sure they have updated photography and the museum is receiving expected payments
  • Active member of the Guggenheim’s Licensing Committee providing updates monthly
