General description:

Information Assistants are responsible for supporting the information and service needs of all WBG staff.  They serve as experienced Information Management Services Specialists responsible for providing routine and standardized tasks and service activities in support of library operations. Individuals demonstrate expertise in various areas of information delivery. They have outstanding customer service, teamwork, communication, and support skills.

The Interlibrary Loan (ILL)/Document Delivery (DD) Library Senior Information Assistant, under the supervision of the Integrated Reference Desk (IRD)/ILL Team Lead at the World Bank Group Library, provides a critical service to support the wide scope of the WBG robust research agenda.  The Library assistant delivers in a timely and accurate way, difficult-to-find, or not subscribed/licensed content (journal articles, books, chapters, grey literature and more) to its patrons. This assistant also supports the IRD, by answering ready reference or basic library enquiries both in personal and virtually using corporate platforms and tools.

The ILL/DD Librarian/Senior Information Assistant will work with all Library clients, regardless of their location. The selected candidate will be joining a dynamic, international team based in HQ (Washington, DC) with an expectation to work in a hybrid environment (partially teleworking and in person at HQ).

Background:

The World Bank Group Library provides services to approximately 24,000 WBG staff and consultants in Washington, DC and world-wide. The unit provides access to many eResources (databases, eBooks, eJournals, etc.), reference and research services, training and custom solutions for organizational information needs.

The WBG Library is a unit of ITS Library & Publishing (ITSLP) team, within the Information and Technology Solutions Knowledge and Information (ITSKI) unit, which is part of the Information & Technology Solutions (ITS) Vice Presidency. ITSKI provides information services to the World Bank Group and to the public. The services are provided by two units: Library & Publishing (ITSLP) and Archives & Records (ITSAR). This position is in the World Bank Group Library which is in ITSLP.

The WBG Library is also part of the Library Network, a group of libraries supporting the work of the World Bank Group and International Monetary Fund staff around the world.

Main functions and responsibilities:

  • Handling and processing ILL/DD requests, respecting turn-around times noted in the Library Service Level Agreements.
  • Checking the WBGL Case Management System (CSM), the Integrated Library System and its back-end system, to locate requests from the library patrons for materials not available within the licensed content and subscriptions.
  • Searching for and locating books, chapters, journal articles and other materials from the various library resources for this purpose, primarily in digital format.
  • Delivering physical materials to WBG staff located at Headquarters or overseas, when applicable.
  • Returning loaned physical materials from other partners effectively and on time when applicable.
  • Purchasing materials using a corporate credit card (PCARD) and dealing with its administrative duties (audit, verification and reconciliation.)
  • Using other open access or academic search engines resources.
  • Staying on top of existing and emerging technologies processes, products, trends and leading industry performance benchmarks on ILL/DD and other related library services.
  • Working effectively as a team member, supporting other library services, such as the Integrated Reference Desk (including its virtual desk); the Digital Content Development (procurement, acquisitions) and the Outreach and Promotions (training, marketing) teams.
  • Preparing and presenting statistical usage reports, periodically, or when required.
  • Maintaining an on-going collegial network of ILL library departments regionally, across the US and globally.
  • Demonstrating the ability to work in, and with, a diverse global workforce.
Selection Criteria

  • Fluency in spoken and written English is necessary. Language skills outside of English considered a plus.
  • Bachelor's degree with a minimum of 3 years relevant experience or Associates Degree with a minimum of 5 years relevant experience.
  • 3 to 5 years of relevant Interlibrary Loan, resource sharing and document delivery services, plus other related Library, or information delivery experience.
  • Strong knowledge and proficiency on ILL platforms such as: OCLC, DOCLINE, Reprints Desk and other tools such as major Publisher’s sites, for searching and purchasing library material.
  • Knowledge of Microsoft Office Suite, particularly Excel and Outlook
  • Knowledge of Web searching and browsing.
  • Solid Library client service orientation
  • Knowledge of commercial and non-commercial library lenders’ platforms and products.
  • Experience using a Case Management System to answer and monitor library requests.
  • Experience in Library administrative tasks and processes.
  • Solid communication skills.
Desired Qualifications:

  • Strong knowledge of Ex Libris platforms (ALMA and Primo), particularly for searching bibliographic references or other similar library systems.
  • Experience using research tools such as Google Scholar, ResearchGate, Kopernio, Lazy Scholar, etc. to search and locate references and materials.
  • Experience using library databases such as JSTOR, PubMed, EconLit, ScienceDirect, etc.
  • Strong experience with administrative processes, purchasing, payments with corporate credit card, reconciliation, invoicing, and reporting (i.e., XiBuy, SAP’s reconciling tool)
  • Knowledge or strong familiarity with Copyright and other library compliance matters.
  • Familiarity with the Controlled Digital Lending (CDL) model as a Library new trend.
  • Experience using communications tools such as Webex and Microsoft Teams.
  • Ability to make suggestions towards the elimination of intermediary steps to reduce turnaround time and contribute to increased patron satisfaction and better internal workflow.
  • Ability to learn from other experts or through attending virtual webinars or conferences and to share and apply knowledge with the WBG Library team.
  • Ability to present and train in library services, when required.
