Position Summary
The incumbent’s responsibilities are split between digital projects originating from WLU Press and the Library at large. For the Press, the incumbent works on projects involving a range of media, including generation and dissemination of metadata feeds, conversion of content from print to electronic formats, and digital asset management. Within the Library the incumbent works on a variety of digital projects and initiatives associated with scholarly communication including support for the institutional repository and other open access publishing platforms as adopted by the Library.
The position handles all the interactions, processes, and troubleshooting involved in the use of the Press’s current digital asset management system, CoreSource, as well as ONIX and other metadata feeds, digital distribution processes, and relevant vendor relationships.
The Digital Projects Coordinator is responsible for coordinating and handling processes involved in customization, content management, organization, maintenance, and ongoing user support of Scholars Commons at Laurier, Laurier’s institutional repository (IR). The incumbent participates in the ongoing evaluation of the IR platform, continually researching options for optimizing performance as new technologies are developed. The incumbent participates in development of innovative processes and practices related to the support of scholarly communication.

Accountabilities
Content Development and Digital Process Management
- Oversees day-to-day management of the institutional repository (IR) and other online publishing platforms as appropriate and required, including guiding content developers or other support staff in the addition or file management of content
- Coordinates the creation & quality control of ebook files in XML, ePub, PDF, and ONIX metadata, and the delivery of metadata and ebook and audiobook files to 3rd party licencees and vendors
- Works with the Library’s Digital Initiatives department to optimize the functioning of the IR, the Press title management system, digital asset management system and other delivery and platforms as required
- Stays current on publishing industry metadata standards and assists in developing recommended best practices; creates and organizes metadata for the IR and Press digital content
- Maintains the Press website
- Provides expertise in file conversion and handles file editing for various digital projects
- Handles bulk content uploading for various digital projects
- Establishes and coordinates other working groups of individuals from within or external to Laurier, as needed, to guide specific projects
- Promotes and develops the institutional repository and ensures compliance with relevant laws and policies, particularly surrounding copyright and other intellectual property issues
- Researches, develops and works as part of a team to implement opportunities for new models of distribution to facilitate the exchange of scholarly publishing and communication
- Develops in partnership with core Library and Press stakeholders policies and procedures for the production, management, and preservation of digital content and metadata, including workflows, quality control, and intellectual property issues
- Works with Press staff and other University stakeholders to research & implement platforms (IR, e-publishing, etc.) supporting new modes of dissemination of scholarship, including networking with industry peers
- Communicates and implements institutional repository guidelines to users, including submission rules, development of new communities, by-laws and policies for journals, research centres, and content developers, as well as copyright, submission agreements, and publishing contracts with authors and content developers
- Develops procedures and analyzes policies to ensure consistency and accuracy of both content in the IR, ePub files and other content formats, as well as Press metadata feeds (primarily ONIX)
- Works with external staff of the IR and other platforms to troubleshoot and fix problems with systems
- Liaises with internal and external IT staff for maintenance and upgrading issues of associated digital projects including software and hardware upgrades.
- Monitors usage of Press and IR systems and creates and distributes reports to stakeholders, including supporting Press financial reporting, especially regarding digital sales
- Monitors performance and processes of relevant systems to ensure they meet identified user needs
- Prepares written documentation on the use and maintenance of processes
- Communicates with content producers (faculty, journal authors and editors) concerning their IR content.
- Provides training and support to various Laurier stakeholders on use, setup, content development and maintenance of IR
- Assists journal editors with setup and use of the editorial features and processes
- Establishes and directs other working groups of individuals from within or external to Laurier, as needed, to guide specific content development projects
- A university degree plus a minimum of two years of related experience, preferably as an institutional repository administrator or digital asset manager
- Excellent oral and written communication skills
- Strong problem-solving and analytical skills
- Strong organizational skills, accuracy and attention to detail, ability to set and handle multiple priorities and meet short deadlines.
- Proven ability to work independently, with minimal supervision
- Demonstrated knowledge of PDF, HTML, CSS, XML, ePub and ONIX standards and inter-operability
- Demonstrated knowledge of harvesting protocols
- Knowledge of metadata standards for institutional repositories and scholarly publishers
- Knowledge of copyright issues as related to scholarly communication and electronic publishing
- Experience working in diverse teams
- Familiarity with current trends in electronic publishing and scholarly communication platforms
- Work experience in an academic library or academic publishing
- Graduate research or scholarly research or publication experience
- Experience providing user training or computer user support
- A desire to work in a fast paced, challenging, and rapidly changing environment requiring a commitment to continuous learning
