Job Description

The Digital Librarian is responsible for managing the overall strategy, implementation and workflow of the Digital Asset Management systems for Klick globally. Overseeing the day-to-day activities associated with the taxonomy, metadata, retrieval and cataloging of all assets including images, audio tracks, video clips, iconography, client logos, fonts, as well as final project files and usage tracking (as required). This role will work closely with the Business Affairs team, Art Producer, producers, project managers, and account management teams.  This role reports to the VP, Business Affairs.

Core responsibilities include:

  • Acts as in-house advocate and expert in Digital Asset Management for Klick globally
  • Training and support for all DAM stakeholders and users in efficient and accurate use of internal DAM systems
  • Optimize meta-tagging and archival workflow processes
  • Create processes and procedures for all employees to follow pertaining to content management, file management and usage tracking
  • Establish and maintain user access permissions to assets and licensing documentation
  • Ensure comprehensive client asset libraries are uploaded including logos, creative assets, licensing documents, and any pertinent final versions of completed work
  • Understand font management and licensing, while educating internal teams on font licensing needs to satisfy client projects
  • Recommend and adapt to changes and improvements across the organization and client group needs as required
  • Ensuring up-to-date and accurate recording of usage rights for all assets
  • Hand off client projects, working files, and supporting licensing documentation by uploading to client’s DAM for market localization
  • Provide consultation and subject matter expert services for interested departments and clients
  • Create and maintain process documents, guides, and standards of practice documentation for all of the above
  • Consistent communication with non-Production teams such as Client Services, Project Management, and Medical Editors
Required skills:

  • Advanced organization, strong attention to detail and time management skills
  • Excellent written and oral communication skills
  • Knowledgeable of a variety of digital media asset types (images, photography, video, audio and design files), comfortable with GSuite, and eagerness to adopt Klick’s proprietary intranet
  • Demonstrate strong Initiative – self-starter
  • Ability to troubleshoot and problem solve – solution provider
  • Ability to manage, grow, and maintain relationships with internal & external customers and suppliers
  • Team player with excellent interpersonal skills
Qualifications:

  • Bachelor’s degree
  • Basic understanding of licensing and usage terms
  • Minimum 3 years of Digital Asset Management experience
  • Agency experience is preferred but not required
  • Pharma background is an asset, but not required
  • Knowledge and usage of Veeva Vault PromoMats an asset but not required
