About the Job

The Digital Communications Specialist acts as a member of the Digital Communications team within University Relations (UR), the University of Minnesota’s central Marketing and Communications office. This role will manage UR’s digital tools, including, mass email, digital displays, digital asset management, Qualtrics surveys, and various Google properties and tools. This role manages the accessibility remediation of documents for University Relations (UR) and its clients, supports digital projects by providing Drupal building assistance.

Roles and Responsibilities

Digital tool management and support (40%)

In collaboration with digital communications director and technical lead, oversee the management for various digital projects including, but not limited to:    

  • Digital display management and support    
    • Digital asset management (DAM) tool
    • Customer data platform (CDP)
    • Google apps, Google Business Profiles, and Google Cameos
    • Event calendar management
    • Qualtrics
    • U search interface and Google search appliance
    • Others, as identified.
  • Lead assessment and collaboration with stakeholders to determine digital tool needs.
  • Research and recommend new digital tools and solutions as needs arise.
  • Lead implementation process and direct setup related to University Relations’ digital tools.
  • Lead, draft, and develop guidelines and training for use or implementation of the digital assets associated with the digital tools listed.
  • Develop solutions to address complex problems with each of the tools identified.
  • Oversee alignment, implementation, and ongoing use of proper brand standards systemwide.
  • Manage and oversee user access management and develop training resources as needed.
  • Assist in the writing of RFPs associated with the projects listed and in evaluating new solutions.
  • Lead or serve as part of RFP committees for evaluation and selection of digital tools.
  • Troubleshoot and provide support for questions and issues.
  • Assist with other digital communication needs as they arise.
Mass email management and distribution (35%)

  • Manage and maintain oversight of all University Relations mass email communications and lists.
  • Schedule and send mass email to internal and external audiences using Salesforce Marketing Cloud and other mass email tools.
  • Ideate, initiate development, implementation, testing, and management of a systemwide email subscription hub and collaborate with U partners for a broad implementation.
  • Manage the mass email user group Drupal Lite website.
  • Test, monitor, and deploy emails for layout or delivery issues.
  • Lead, develop, draft, and collaborate with U stakeholders on mass email branding, best practices, accessibility, and template construction and proper use.
  • Organize and participate in Marketing Cloud User Group sessions.
  • Oversee accessibility of University Relations’ mass email communications.
  • Work with U partners to provide information and resources for the appropriate use of mass email systemwide.
  • Act as the UR expert on legislation related to mass email, including CAN SPAM, GDPR, CASL, and PECR. Work with the OGC to interpret these laws for the U.
  • Train UR staff and write documentation for ongoing UR email support.
  • Initiate improvements and recommend changes to support Salesforce Marketing Cloud (SMC) online training enhancements for ongoing email support. Collaborate with SMC Committee and OIT’s training team to have changes implemented.
  • Test online training course and recommend changes or improvements.
  • Provide backup email support for President’s Office and other units.
  • Work with developers to build and use HTML email templates—test each email, verifying copy, layout, and links as well as assess and address any spam risks.
  • Work with designers to ensure template changes and one-off designs are implementable, responsive, and will render consistently across email clients.
  • Collaborate with measurement and analytics team to analyze and report on results of emails to improve future performance.
Digital accessibility assistance (15%)

  • Manage and oversee accessibility remediation of documents and slides.
  • Serve as a UR’s central resource for questions related to digital accessibility.
  • Serve as the UR representative for the Digital Accessibility Stakeholder group and Accessibility Ambassadors community of practice.
  • Assist with site building in Drupal using the University’s Folwell web theme components.
  • Assist developers in page creation and content contribution.
Promote the University’s brand and electronic publishing standards (5%)

  • Be familiar with and consistently use and promote the University’s brand requirements, guidelines, and assets.
  • Assist in researching and developing new standards as technology evolves.
Professional development (5%)

  • Attend conferences, workshops, seminars, and participate in other professional development opportunities.
  • Participate in various committees and groups on and off campus such as Accessibility Ambassadors and Web People.
Qualifications

Required Qualifications:

BA/BS in Communications, Journalism, Marketing, Art or related field or non-communication related degree with additional six (6) years of professional communications experience.
Four years of professional communications experience. Non-degreed individuals must have six years of progressive responsibility in communications.

Preferred Qualifications:

  • Experience in digital display systems such as Carousel digital signage.
  • Experience in Salesforce Marketing Cloud.
  • Experience with digital asset management tools.
