The Digital Asset Coordinator (Temporary) plays a key role in organizing and maintaining the integrity of the organization’s digital asset library. This role is dedicated to the systematic migration of digital files into the Digital Asset Management (DAM) system, ensuring assets are properly labeled, categorized, and accessible for internal stakeholders.

Reporting to the Director of Content and Creative Strategy, the Digital Asset Coordinator supports the broader communications and creative teams by maintaining consistency in metadata and file organization. This position requires a highly organized, detail-oriented professional with a strong understanding of digital file management and asset lifecycle processes.

Duties and Responsibilities:

The duties and responsibilities include, but are not limited to, the following:

  • Migrates and updates existing digital assets to the DAM system in a timely and organized fashion, following established workflows.
  • Ensures all assets are tagged with accurate and relevant metadata, including descriptions, keywords, and usage rights, to support efficient search and retrieval.
  • Organizes digital files into logical folders, categories, and collections aligned with organizational taxonomy and user needs.
  • Maintains and enforces consistency in file naming conventions, metadata tagging, and categorization in accordance with internal standards.
  • Conducts routine quality control checks to verify files are uploaded correctly, accessible, and properly documented.
  • Uploads new digital assets to the DAM system with the same level of attention as legacy files, ensuring the digital library remains current and usable.
  • Collaborates with stakeholders across departments to validate asset organization, confirm metadata accuracy, and align with evolving user requirements.
  • Troubleshoots minor technical issues within the DAM platform and escalates more complex issues to IT or vendor support when necessary.
Qualifications Guidelines

Any combination equivalent to, but not limited to, the following:

Experience/Training/Education:

  • Bachelor’s degree in Digital Media, Library Sciences, Information Management, or a related field preferred.
  • Experience working with digital asset management systems in a professional or academic setting.
  • Familiarity with metadata standards and best practices in digital file organization.
Knowledge and Skills:

  • Strong attention to detail and commitment to accuracy in labeling and organizing digital content.
  • Knowledge of digital file types, media formats, and usage rights.
  • Proficient with digital asset management platforms and cloud-based storage systems.
  • Excellent organizational and time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Effective communication and collaboration skills, with the ability to work independently and within a team.
  • Strong problem-solving abilities and willingness to troubleshoot and adapt to new technologies.
  • Commitment to maintaining the consistency, usability, and integrity of digital assets across the organization.
