Project Coordination
- Coordinate project workflows, monitor progress, and ensure deadlines are met.
- Track and communicate project status updates to relevant stakeholders, identifying potential delays and implementing solutions.
- Collaborate with account management, creative, production, and media teams to facilitate smooth project execution.
- Maintain project documentation and files within the department's server.
- Traffic final linear, digital, social, and audio assets to media partners as per the media plan.
- Understand integrated media buys to manage production and traffic deadlines and generate clear and accurate traffic instructions/scheduling forms.
- Assist Producers in building deliverable documents and specifications for final delivery. Support uploads and QC confirmations with distribution vendors.
- Manage digital/social embedded captioning, .SRTs, transcodes, and asset delivery to internal teams, media partners and asset managers for client DAM.
- Manage routing, communication, and negotiation of agency Legal and Network Clearance approvals.
- Obtain and QC accurate substantiation for commercial claims.
- Communicate feedback from Network Standards & Practices (S&P) teams to internal stakeholders.
- Maintain strong relationships with media partners, network/station S&P, traffic teams, and distribution/storage vendors.
- Understand distribution rate cards and prepare quarterly dub/ship estimates.
- Generate purchase orders (POs) and reconcile vendor invoices in a timely manner.
- Manage storage estimates and collect production elements for final client storage.
- Prepare and distribute project status reports to stakeholders.
- Maintain and update project management systems and tools.
- Provide quarterly estimates for distribution, storage, and production needs.
- Strong organisational and time management skills.
- Excellent communication and interpersonal skills.
- Proficiency in project management software and tools.
- Ability to manage multiple projects simultaneously and meet tight deadlines.
- Detail-oriented with strong problem-solving abilities.
- Ability to work collaboratively in a fast-paced, dynamic environment.
