WHO WE NEED

We are looking for a Collections Database Specialist (CDS) focused on Natural History to join our team. This role is central to maintaining and advancing the ROM’s collections management systems, implementing data standards, and supporting access to collections information. Reporting to the Manager, Collections Information Systems, you will collaborate with curators, collections staff, and external organizations to ensure the integrity, accuracy, and accessibility of our collections data.

HOW YOU WILL MAKE AN IMPACT

  • Lead collections and curatorial departments in establishing cataloguing and data standards across the ROM collection.
  • Manage the lifecycle of digital assets, ensuring integrity, consistency, and adherence to metadata standards.
  • Support and promote the use of The Museum System (TMS) and Digital Asset Management (DAM) systems.
  • Facilitate public access to collections data through eMuseum and other aggregators.
  • Train staff, interns, and volunteers on data entry, standards, and cataloguing guidelines.
  • Respond to internal and external collections data requests, generating customized reports and supporting audit and compliance requirements.
  • Liaise with external organizations like Canadensys and GBIF to ensure ROM collections data is accessible through collaborative portals.
WHAT YOU BRING

  • Five (5) to eight (8) years of relevant experience or an equivalent combination of education and experience, with specialization in Museum Studies or Information/Data Management (Natural History background preferred)
  • Expertise in collections management systems, including The Museum System (TMS) and Crystal Reports. SQL Server Reporting Services (SSRS) and basic SQL knowledge are assets.
  • Proficiency in Microsoft Office and experience with Digital Asset Management Systems.
  • Strong organizational and problem-solving skills with meticulous attention to detail.
  • Exceptional communication and interpersonal skills to work across diverse teams and stakeholders.
  • Familiarity with scientific terminology, metadata standards, and digital asset lifecycle management.
  • A proactive approach to providing support and training to users with varying skill levels.
