Overview

The Creative Coordinator is responsible for providing project coordination and administrative support for the Creative Team within the Marketing Department. This role will require a highly motivated professional who can gather project requirements, plan actions, assign tasks, and maintain an organized workflow.

In addition to coordinating projects, the Creative Coordinator will manage creative vendor relationships and provide limited proofreading and graphic support to ensure timely project completion. This position plays a crucial role in expediting creative deliverables by supporting the Marketing/Creative Team in executing the go-to-market strategies of Chadwell Supply.

What you will need

  • Associate or bachelor’s degree in marketing, Graphic Design, or a related field preferred, but not required.
  • 2+ years of relevant experience as an agency traffic coordinator, administrative assistant, or project manager within a Marketing Department or similar field preferred.
  • Experience with project management processes and using online Project Management Software.
  • Familiarity with online Digital Asset Manager (DAM).
  • Experience in graphic design and print production environments and terminology.
  • Editing/Proofreading experience a plus.
  • Advanced proficiency in MS Office programs (Word, PowerPoint, Excel, Outlook)
  • Knowledge of Adobe Creative Suite programs (InDesign, Illustrator, Photoshop)
  • Understanding of marketing strategies.
  • Excellent written and spoken English with high grammatical and spelling accuracy.
  • Strong organizational skills and attention to detail.
  • Effective time management abilities, including planning and prioritizing workloads.
  • Ability to multitask and work with minimal supervision.
  • Demonstrated flexibility and adaptability to changing priorities.
  • Proven ability to work effectively both independently and in a team-based environment.
  • Strong initiative and willingness to ask questions for deeper understanding.
  • Ability to follow directions, understand and adhere to work rules and procedures, and accept feedback.
How you will make an Impact

  • Serve as the liaison between the Creative Team and internal and external stakeholders for creative requests.
  • Coordinate creative requests, including researching detailed needs, assigning projects, monitoring progress, tracking deadlines, adjusting team workloads, and following up with requestors using Monday.com project management software.
  • Schedule department meetings, video shoots, podcast, or photo shoots, etc. and providing support as needed.
  • Organize and maintain a digital asset database (using a DAM) including videos, images, creative briefs, project guidelines and more.
  • Ensure accurate distribution of final print collateral and design assets.
  • Coordinate project quotes, vendor selection, and ordering of creative deliverables.
  • Act as liaison with creative vendors, including managing the Online Print Store.
  • Process invoices, provide project reports, and track project budgets as needed.
  • Format documents in Word, PowerPoint, Excel, etc. to align with brand standards.
  • Proofread documents for spelling, punctuation, and accuracy.
  • Perform basic graphic design and copy-editing tasks, including minor changes and customization of assets.
