Creative External Resources Manager

Our Creative Studio is at the heart of Hallmark.  Our ability to create market leading designs and continuously evolve our ways of working is critical to our success.  As our Creative External Resource Manager you will manage our external resource requirements to provide additional support and flexibility to our Creative teams. You will be the link and liaison between external resources and internal creative teams. Working alongside all Creative teams, HR and Legal to deliver usable/relevant content, on-time and to budget while ensuring contractual compliance.

A diverse role, you’ll be a great people person, with a natural solution orientated approach to problem solving, mainly responsible for:

  • Source, assess, acquire and co-ordinate all external resources required by creative, including contract negotiation, onboarding, booking, contract and invoice management
  • Managing compliance through job classification, contracts, rights usage, I/P protection and security, terms and conditions, etc. including quarterly audit, ways of working reviews
  • Match external resources and talent with creative briefs
  • Partner Manager’s to ensure creative brief/project scope of work is accurate, thorough, and that all aspects of the project have been covered to support creative execution by an external talent resource.
  • Influence day to day ways of working to ensure external resources are engaged with in accordance with GDPR, IR35, business requirements and other influences impact the external resource relationship
  • Identifies, investigates and manages problem resolution and future fixes to maintain an efficient work process whist at all times maintaining flexibility.
  • Work with digital assets to ensure assets are recorded and ingested into Hallmark’s Digital Asset Management system (DAM) correctly.
  • Works alongside Traffic Coordinators to align resource to CDP and evaluate project priority. Communicate key milestones for external work process while keeping internal stakeholders informed of progress.
  • Forecast, report & govern annual freelance budget
Coming from a creative account management. recruitment, or planning background, you’ll be looking for a varied role where you  get to work cross functionally to continuously improve processes and match creative talent with opportunities which showcase their designs perfectly, whilst balancing budgets and timelines.  To be successful in this role you will need:

  • To be an approachable people person with great communication skills and proven experience of building relationships, known for your composure and effectiveness under pressure
  • Confident in appropriately challenging others and ensuring processes and procedures are adhered to thorough upskilling and awareness
  • Excellent problem solving, negotiating and influencing skills
  • Excellent excel skills and database management
  • Evidence of continuously improving ways of working and improving processes/procedures for maximum compliance and usability
  • Strategic, thought leadership to drive efficiencies  
  • To be comfortable with numbers and analyzing data, alongside creative, subjective topics too
  • Experience of managing CDP’s and/or project deadlines, with multiple stakeholders, across multiple functions
  • Understanding of the freelance and creative working environment and relationship
  • Understand of contract compliance, GDPR and IR35, would be an advantage
